Office Manager
Job Title: Office Manager
Employee Status: Full Time
Reports to: Lead Pastor
Primary Function:
To maintain all functions of the church office.
Requirements:
· Maintain a growing relationship with Christ.
· Desire to work as a team by relating to and working with others.
· Good people skills, phone skills, and competent in Word, Excel, and Publisher.
· Trustworthy and ability to maintain confidentiality.
Church Responsibilities:
· Answer telephone and receive visitors with a welcoming attitude handling all calls and personal encounters with wisdom and grace.
· Maintain church calendar ensuring form requests are submitted and approved for all church property and inform appropriate staff of all activities.
· Ensure church management software is up to date and accurate by maintaining and recording weekly attendance, visitor information, member profiles, membership letters, letter transfers, etc.
· Check mailbox to distribute mail daily and check and respond to emails promptly.
· Maintain forms for the food pantry, clothes closet, Life Restoring Cupboard, and any other benevolence as needed.
· Order Sunday School materials and inform the Sunday School Director when materials are in and ready for distribution.
· Inform all staff of any membership needs related to illness and/or death.
· Update all publications for Sunday and Wednesday services including but not limited to Sunday bulletin, The Mid-Week, Children’s Bulletin, Monthly Newsletter, and additional inserts for specific events.
· Print lists, labels, and reports for Business meetings, Sunday School Classes, Committees, and Departments as needed.
· Send out Volunteer Reminders as needed.
· Attend weekly staff meetings.
· Order supplies for the church, including but not limited to office and cleaning.
· Print updated Sunday School rosters as needed and pick up/put out each week for attendance records.
· Open and close the office daily.
· Manage and maintain up to date and accurate office files including but not limited to committee reports, business meeting minutes, deacon lists, church documents, etc.
· Any other task requested by the Lead Pastor as needs arise.
Financial Responsibilities:
· Match invoices to requisitions.
· Collect and match credit card receipts to statements.
· Code all invoices and credit card statements with general ledger accounts.
· Submit approved invoices for payment via email.
· Match checks to invoices, mail checks for signing, and file check stub with invoices attached.
· Attend money counting weekly and follow procedures given by Budget& Finance, Treasurer, and Vice-Treasurer.
· Responsible for recording and depositing any monies given to the church, and maintain giving records with confidentiality.
· Assist Budget and Finance Committee as requested.
